Time Card Calculator
Calculate weekly or biweekly work hours, deduct unpaid lunch breaks, and estimate gross pay. Free to use, save and print.
How to use the time card calculator
- Choose a weekly or biweekly pay period. Open Dates, days and pay settings to change the start date or add a pay rate.
- For each day you worked, type the clock-in and clock-out times, such as 9am and 5:30pm.
- Enter any unpaid break in minutes. Select Ends next day for shifts that pass midnight.
- To estimate gross pay, choose a currency (USD, INR, GBP, EUR, CAD, or AUD) and add your hourly rate in it.
- Save the timesheet on this device, copy a summary, download a CSV file, or print it.
Shortcuts: Copy Mon to Tue–Fri fills a regular schedule, Copy week 1 to week 2 repeats it for biweekly periods, and Reuse for next week keeps your times and moves the dates forward.
How the hours are calculated
Each work period is measured in whole minutes, then the unpaid break is subtracted for the day:
Daily time = (clock-out − clock-in) for each period − unpaid break Total = sum of daily minutes, converted to hours at the end Gross pay = total hours × hourly rate
Totals are added from exact minutes, not from rounded daily decimals. That avoids small drifts: three days of 7h 20m are exactly 22.00 hours, not 21.99. Pay is rounded to 2 decimal places only at the end, in the currency you choose. Times are wall-clock times as entered, with no time-zone or daylight-saving adjustment. See the calculation methodology for every rule.
Worked examples
Standard day
9:00 AM–5:30 PM with a 30-minute unpaid break = 8h 00m (8.00 hours).
Full week
Five of those days = 40h 00m. At $25.00 per hour, gross pay is $1,000.00.
Overnight shift
10:00 PM–6:00 AM (ends next day) with a 30-minute break = 7h 30m.
Split shift
9:00 AM–12:00 PM plus 1:00 PM–5:00 PM = 7h 00m.
Biweekly with custom overtime
45 hours then 35 hours at $25, overtime after 40 hours at 1.5×: week 1 is $1,187.50, week 2 is $875.00, total $2,062.50.
Time card calculator with lunch breaks
Enter lunch in the Break (min) field for each day. A 9:00 AM–5:00 PM shift with a 30-minute unpaid lunch totals 7h 30m, or 7.50 decimal hours. If lunch counts as working time in your records, leave it out of the unpaid-break field.
For exact lunch-out and lunch-in times, use Add period to record the two work periods around lunch. Do not subtract the gap again. See the guide to calculating hours with lunch breaks.
Weekly and biweekly timesheets
Select Biweekly to enter two consecutive weeks. Each week has its own total. If you enable custom overtime, the threshold is applied to each week separately; a short second week does not cancel extra hours from the first week.
For paper entries, download our free weekly and biweekly timesheet templates. Working through midnight? Follow the overnight-shift guide to enter the dates correctly.
Frequently asked questions
How do I enter an overnight shift?
Enter the clock-in and clock-out times on the day the shift started, then select Ends next day. For example, 10:00 PM to 6:00 AM with “Ends next day” selected is 8 hours. HourSprout never assumes a shift is overnight just because the end time is earlier; it asks you to confirm.
How do I record a split shift or an unpaid lunch?
Use Add period to enter each stretch of work separately, such as 9:00 AM–12:00 PM and 1:00 PM–5:00 PM. Or enter one period with the unpaid break in minutes. Use one method for the same break, not both.
Why are my totals not showing?
Totals are held back while any shown day has an incomplete or invalid entry, so you never see a misleading number. The list under Totals links to each entry that needs attention.
What happens to Saturday and Sunday when I choose Mon–Fri?
They are hidden and left out of the totals, but anything you entered is kept. A notice tells you when hidden days contain entries. Switching back to 7 days brings them back. The same applies to week 2 when you switch from biweekly to weekly.
Is overtime included in the gross pay?
Not by default: every hour uses the same hourly rate. You can turn on custom weekly overtime under “Report title and overtime options” and choose your own threshold and multiplier. HourSprout does not decide whether overtime rules apply to you.
Can I calculate pay in rupees, pounds, euros, or other currencies?
Yes. Choose USD, INR, GBP, EUR, CAD, or AUD and enter your hourly rate in that currency. Gross pay, copied summaries, CSV files, and printouts use the currency you chose. Changing the currency does not convert amounts with exchange rates, and it does not apply local tax or overtime rules.
Where are saved timesheets stored?
Only in this browser on this device, using local storage. Nothing is uploaded, there is no account, and saved timesheets do not sync to other devices. You can delete them at any time from the “Saved on this device” list.
